Is this only for dental offices?

No — Tallymark was designed for dental first and now serves veterinary, medical spa, chiropractic, and physical therapy practices. The same engine handles any small health practice where licenses, training records, and equipment paperwork expire on a calendar.

How do reminders work?

Each record has an expiration date. We send escalating reminders at 60, 30, 14, and 7 days out over both email and SMS — and we route them to the person responsible for that record, not just the practice manager. Reply directly to the reminder to log proof you've handled it.

What happens when a state inspector shows up?

Open the inspector view on any device. It groups everything they typically ask for (OSHA training, licenses, equipment logs, certifications), generates a single PDF per category with the source documents attached, and lets you filter by date range or staff member.

We already have paper binders and spreadsheets — how does the migration work?

Drop them in. Upload PDFs, photos, or CSV files and tell us roughly what they contain; our onboarding team finishes the categorization for you during a 30-minute session. Originals stay attached so inspectors see the source, not a transcription.

Do you replace our practice management software?

No. Tallymark sits alongside your PMS, HR, or EHR — it does not duplicate patient data. We only touch compliance records. A two-way Zapier / API connection is available on the Practice and Group plans if you want one.

Is the data HIPAA-grade?

Tallymark stores proof-of-compliance files, not patient records, so it sits outside the HIPAA Safe Harbor boundary. We still encrypt at rest and in transit, retain audit logs by default, and will sign a BAA on the Group plan or above.
