Dental offices
OSHA + state radiology + DEA + autoclave logs
Tallymark replaces the spreadsheets, paper binders, and shared-drive guessing games that dental, veterinary, med-spa, chiropractic, and physical-therapy practices use to track OSHA, licenses, calibrations, and certifications — with automatic reminders, a single searchable vault, and one-click inspector reports.
What we replace
After twelve months with Tallymark, most practices tell us the binder just sits there. That is the point.
Drop existing spreadsheets, PDFs, photos of paper binders, and old emails. We normalize everything into one ledger — and keep the original file attached for inspectors who want the source.
Pick email, SMS, or both. We send escalating reminders at 60, 30, 14, and 7 days before anything expires — and to the right person, not just whoever set it up.
When a state inspector walks in, your compliance report is one tap away: per category, per person, per equipment, with the proof-of-file attached. Pretty enough for a board; boring enough for OSHA.
Who uses it
OSHA + state radiology + DEA + autoclave logs
State veterinary board + controlled substances + radiation
Medical director licenses + device calibrations + SOPs
Continuing education + state board + x-ray cycles
Multi-provider license tracking + insurance + certifications
that is one missed renewal away from a citation

Questions we hear a lot
No — Tallymark was designed for dental first and now serves veterinary, medical spa, chiropractic, and physical therapy practices. The same engine handles any small health practice where licenses, training records, and equipment paperwork expire on a calendar.
Each record has an expiration date. We send escalating reminders at 60, 30, 14, and 7 days out over both email and SMS — and we route them to the person responsible for that record, not just the practice manager. Reply directly to the reminder to log proof you've handled it.
Open the inspector view on any device. It groups everything they typically ask for (OSHA training, licenses, equipment logs, certifications), generates a single PDF per category with the source documents attached, and lets you filter by date range or staff member.
Drop them in. Upload PDFs, photos, or CSV files and tell us roughly what they contain; our onboarding team finishes the categorization for you during a 30-minute session. Originals stay attached so inspectors see the source, not a transcription.
No. Tallymark sits alongside your PMS, HR, or EHR — it does not duplicate patient data. We only touch compliance records. A two-way Zapier / API connection is available on the Practice and Group plans if you want one.
Tallymark stores proof-of-compliance files, not patient records, so it sits outside the HIPAA Safe Harbor boundary. We still encrypt at rest and in transit, retain audit logs by default, and will sign a BAA on the Group plan or above.
